BRANCH OFFICE REPRESENTATIVE- AVA, MO

Job Location: Ava, Missouri

JOB SUMMARY

Supports and coordinates the day-to-day branch office activities to ensure complete and accurate member accounting.

ESSENTIAL DUTIES/RESPONSIBILITIES 

      • Collect payments and update files.
      • Receive and process applications for new services, meter sets, meter removals, and name changes.
      • Answer phones, direct calls, and take messages as needed. Answers emails or directs emails to the appropriate department.
      • Face-to-face interactions with members and public via lobby and/or drive thru.
      • Operate two-way radio supplying information to crews in the field.
      • Post payments on computer – balancing daily with cash sheet and cash drawer. Prepare the bank deposit.
      • Respond to billing inquiries and make any necessary adjustments to members’ accounts.
      • Process all daily paperwork according to office policy and procedures.
      • Coordinate collection activities on delinquent accounts.
      • Disburse petty cash.
      • Complete reports and projects as they relate to members’ accounts and upkeep of the system data.
      • Utilize resources and software provided by the Cooperative to process member needs.
      • Responsible for retaining knowledge of cooperative practices, procedures, and policies.
      • Demonstrate regular, dependable, and punctual attendance, adhering to scheduling procedures. Present a professional image in alignment with the Cooperative policy.
      • Perform other duties as required, and assigned by supervisors and management, contributing to the overall success and efficiency of the team and the Cooperative.

EXTERNAL RELATIONSHIPS

  • Position has extensive contacts with members- providing advice, assistance and resolving billing problems. Contacts with outside agencies and Family Services to exchange information and to assist members in obtaining help in paying their electric bills.

POSITION REQUIREMENTS

    • Education – Minimum high school diploma or GED equivalent. An associate or bachelor’s degree from an accredited college or university is preferred. Post high school education above the minimum may be substituted for a portion of the work experience requirement.
    • Experience – Two (2) to Three (3) years’ work experience in an office/business environment or similar customer service/cashier position preferred.
    • Job Knowledge –Must have the ability to obtain working knowledge of all office procedures and policies related to the Cooperative and members accounts.
    • Abilities and Skills – Must have the ability to perform arithmetic operations quickly and efficiently. Must have the ability to perform office operations quickly and efficiently both verbally and in writing. Must have the ability to analyze information in both written and oral form. Must be able to coordinate, control and schedule own time and that of others. Strong problem-solving skills, with the ability to think critically and provide solutions. Ability to remain calm and professional in stressful situations.

WORKING CONDITIONS

    • Inside office environment with regular posted office hours with some overtime when necessary. Position located in Branch Office where specified. Position may require travel to other offices from time to time.

PHYSICAL EFFORT AND DEXTERITY

    • Frequent physical activity includes sitting at a desk for prolonged periods of time, standing, walking, stooping, bending, lifting, and carrying materials under fifteen pounds.

MACHINE, TOOLS, AND EQUIPMENT

    • Capable of operating a personal computer, calculator, printer, copy machine, telephone, shredder, and any other required office equipment.

VISUAL ACUITY, HEARING, AND SPEAKING

    • Comfortable speaking on the telephone, via online conference tools, and in-person. Must be able to communicate clearly and accurately for work and safety compliance.

ENVIRONMENT CONDITIONS

    • The majority of work will be performed indoors. Normal office safety precautions and practices are required. Position may require walking to acquire supplies from time to time. Position may require employee to work by themselves.
